Workflow
From the first task to the final invoice.
Keep planning, time tracking, and billing in the same place, so you can review the work without piecing together a week of notes.
01
Plan your day
Set aside time for project work, meetings, and follow-up on your calendar.
02
Track as you work
Start a timer for the task at hand. Keep separate timers when you switch between projects.
03
Add missed time
Log completed work by hand or turn a finished calendar block into a time entry.
04
Review the week
Check planned hours against actual time and see how much of your work is billable.
05
Approve and invoice
Review entries, approve billable time, and create an invoice or export the details.
06
Connect your tools
Use the API and webhooks to bring work records into your reporting and other systems.
Invoicing
Show the work behind the total.
Create invoices from approved billable time. Keep the hours, rates, and work descriptions close at hand when a client has a question.
Start with your first project- The work
- Project, time entries, and descriptions of what was done
- The amount
- Logged hours, billing rates, and the invoice total
- The review
- Entry status and the history of changes and approvals
- The handoff
- Invoice details and CSV or JSON exports for your records
A useful check before billing
- Did the work take more or less time than you planned?
- Are there completed tasks you still need to log?
- Does each billable entry have the right rate?
- Is approved time still waiting to be invoiced?
Analytics
See where your time went.
Compare planned and actual hours, review billable time, and check work that still needs attention. Use the project and date filters to focus on the period you are billing.
A scheduled block is a plan, not a bill. Review any gap before adding time or changing an invoice.
What is unlogged time worth?
Adjust the numbers to estimate the value of billable work that is not making it onto your timesheet.
Estimated monthly value
$13,000
$156,000 over a year
How this estimate works
People × hourly rate × unlogged hours × 52 weeks, divided by 12 months. This assumes every hour is billable at the rate you entered. It is not a forecast of revenue or savings from SOWLedger.
Client review
Give clients a clear place to review.
Clients can review their issued invoices and the entries behind them, then record approval. They do not need access to your team's calendar, running timers, or workspace settings.
- 1
Prepare the invoice
Approve billable time and create a draft. Check the hours, rates, and descriptions.
- 2
Make it available for review
Mark the invoice as sent so it appears in the client portal. Share the portal link with your client separately.
- 3
Keep the approval on record
The client can approve the issued invoice. Refer back to the reviewed work when a question comes up.
